Learn / what to do about an unpriced event

You found an unpriced event. Now what?

Say the ten-minute check turned up a three-day expo six weeks out, and your rate on those nights is the same as every other Tuesday-to-Thursday. Here is what to change, in order of how often it is the right move.

Move the rate modestly, not heroically

The instinct is to double the price. Resist it. You are acting on a real signal, but an early one: you know attendees will sleep somewhere, not that they will sleep in yours. A 6 to 10 percent lift per affected night is the range that captures the demand without pricing yourself out of the first wave of bookings, because a missed booking costs more than a missed few percent. If the nights then start booking fast, raise again; the signal has confirmed itself.

Consider a minimum stay before a bigger rate move

Multi-day events create a specific risk: a one-night booking in the middle of the event window orphans the nights around it. A two-night minimum across the event dates often earns more than a large rate increase, because it shapes the bookings to the demand instead of just taxing them. It is your call and your setting, in whatever you already use; nothing here changes it for you.

The two mistakes that cost more than doing nothing

Gouging on a guess. If the event is smaller than it looks (check the source link: a 40-booth craft fair is not a 40-state convention), a tripled rate just moves the booking to the house down the street. The venue's own page usually tells you the scale: exhibitor counts, hotel blocks, how many years it has run.

Reacting after the comps finally move. If you wait until surrounding listings creep up, the event is mostly booked and you are raising prices on leftovers. The entire value of finding an unpriced event is the weeks of lead time; spend them.

Write down what happened

After the event passes, look at what those nights actually did: booked or not, at what rate, how far ahead. Two or three cycles of this and you know your market's real event elasticity better than any tool can guess it. Annual events repeat; your notes from this year are next year's free lead time.

Or have the finding done for you

Mountmor reads these venue, fairground, chamber and civic calendars daily and lists every multi-day event that is not sold through a ticket platform, with the calendar it was read from on each line. For customers, that list covers every market they have properties in, on one dashboard, with a text on the days an event is newly listed, moved or no longer listed. What you do about each one stays your call, in whatever you already use. $199 flat for up to 3 markets, unlimited doors, no per-listing fee, with a written 30-day money-back guarantee, and the findings pages stay free either way, because they are the proof.
